Accounts Assistant (Property Management) Newcastle My client requires an accounts assistant for their property management business in Newcastle. Role: Dealing with credit control and such other accounts duties as required throughout the year. General reporting to the Property Management Accountant & Property Manager taking full responsibility for the whole purchase ledger process, from purchase orders though to processing invoices and reconciliation. Monitoring e-mail boxes for incoming supplier invoices. Opening new purchase ledger accounts. Coding invoices to the relevant client/property/budget heading. Preparing and running BACS payment runs. Reconciling supplier statements and dealing with any queries. To be able to work independently and also as part of the team. Monitoring how much is owed to suppliers and monitoring cash available within the Client Service Charge bank accounts. Credit control duties reporting to the Property Management Accountant & Property Manager. Responsibilities: Tenant billing is processed on a monthly and quarterly basis by the Property Management Accountant. Reminders to sent out via e-mail to all tenants 7 days after due date. Debtors notes to be recorded on all overdue debt. Leasing closely with the Property Management Accounts & Property Manager instruction will be given after 7 day letters sent out if debt remains unpaid. Directly telephoning debtors to chase payments. Liaising with the property manager to initiate 3rd party recovery action. Making payment of utility invoices as part of the purchase ledger process. Recharging building utilities to the tenants. Submitting meter readings to utility companies. Liaising with property manager and utilities consultants to receive best utility contract rates. Dealing with utility queries with the suppliers. Assisting the property manager at service charge year commencement and ends. Assisting the accounts head with any other duties as may be necessary from time to time. Confidential shredding. Requirements: Provide a professional and efficient service to the Property Management finance team, through the use of robust processes & systems. Must have the ability to work to deadlines at month ends, quarter dates and year ends. Solid knowledge of transactional accounting will be required. Excellent working experience in Microsoft Word & Excel.
