Job Title-Medical Secretary/PA Private Obs/Gynae Practice Salary - Up to £34,000 Location- South West London Hours -8.30am to 5.30pm Mon to Fri Role - Perm or Temp to Perm We are seeking a dynamic and enthusiastic Medical Secretary with exceptional customer service and administrative skills for a Private Medical Practice The ideal candidate will have the following skill set Provide excellent customer service, including being polite, empathetic and diplomatic, setting realistic patient expectations, and getting back to people as agreed with the information requested. Maintain confidentiality of information according to GDPR. Demonstrate the highest level of attentiveness in dealing with all patients and be the main point of contact in the provision of non-clinical support. Book appointments, operations and investigations, ensuring the timely receipt of results for review. Manage the bookings and waiting lists between private hospitals and other medical facilities, complying with the booking procedures of each and ensuring all parties involved are kept fully informed of the relevant details. Register and constantly update patient details accurately on DGL, maintain patient paper files, and manage the computer filing system. Handle patient and insurance invoice queries, remind patients of outstanding balances, process credit card payments over the phone, and liaising with the accounts manager. Respond appropriately to all telephone calls received during office hours, and ensure messages are left for out-of-hours callers / emailers so patients know who to contact in emergencies. Ensure all phone messages and emails are responded to promptly and inform Miss Yoon of any patient dissatisfaction. Ensure all correspondence has been approved prior to dispatch. Endeavour at all times to respond promptly to circumstances as they arise and to keep the Consultant informed of work in progress. Constantly evaluate what information is appropriate to be passed on at any given time, taking into account the urgency of the issue, the Consultant's schedule and the time at her disposal. Ensure all messages from patients and colleagues are passed on in a timely manner. Update and inform the Consultant of clinic data, managing her schedule in sympathy with her personal commitments. Keep in touch with reception staff and nurses during clinics. Anticipating needs, for example placating patients who are waiting to see her if she is running late or discussing any urgent issues with patients. Maintain the security and tidiness of the office premises and liaise with hospital support services to ensure the office runs efficiently at all times. Assume responsibility for the running of the office if the other medical secretary is sick, on Annual Leave or absent for any other reason, assisting as required. Answer the office phone and manage the expectations of patients, colleagues and other service providers. Monitor one of the two office email addresses and send, act on and answer emails appropriately and in a timely manner. Make outpatient and theatre appointments, bearing in mind schedule and personal diary. Arrange scans, blood tests and other appointments for patients. Monitor the progress of clinics and theatre lists, keeping informed of patient delays and cancellations and updating patients. Clerk patient files before clinics and theatres. Take card payments over the phone and maintain accurate records. Supervise the professional diary, as well as with the schedules of her colleagues and other service providers. Send clinic text reminders to patients. Handle accounts queries over the phone and by email, forwarding on to the accounts manager anything which requires more detailed investigation or escalation. Liaise with insurance companies over the phone and by email. Generate patient recalls. You will need excellent typing and administrative skills, audio and dictation experience, DGL experience would be an asset but we need someone who wants to be busy, is meticulous and who will muck in and deal with the day to day PA and office administration duties.
