Hybrid role. This is a varied role that would suit someone with previous experience providing support within a busy university department. Covering: Student administration. Day-to-day departmental financial management Conference and event management Web-editing and communication Typical duties will include: Maintaining student records, organising and checking registrations, collating coursework and dissertation submissions, maintaining records of achieved marks, monitoring attendance, updating Portico records and Moodle MA module pages, including creation of new Reading Lists as required and maintaining existing lists in liaison with the UCL Library. Responding to general queries from MA, research and Continuing Education students. Undertaking exam-related work during MA exam season. Amending and updating Moodle, Portico, UCLRegister as required. Financial processing: dealing with payments of invoices and expenses/bank transfers for staff, students and visitors; logging expenses claims, collection and entering of data for one-off payments; monitoring income and expenditure for conferences, Leventis and WP funding; running Axiom reports and providing academic staff with research allowance balances, as required; keeping accurate up to date files, setting up online payment. Liaising and making arrangements for Continuing Education students: processing payments and refunds, keeping records. Conference and event management The administrator has overall responsibility for, and ownership of, all aspects of organizing and administering conferences and events for academics and research students, working independently, under her/his own initiative. Advising academic staff, and especially research students, on possible sources of funding and assisting with their applications. Communicating through clear and effective verbal and written correspondence with speakers, staff, guests and service providers as necessary to ensure the smooth running of events and projects. Managing the recruitment of, and providing training for and supervision of, student event assistants, as required. Undertaking administrative tasks involved in setting up and organizing events, such as ordering catering. Web Editing and Communication. Proactive and major responsibility for keeping department website and SharePoint up to date, editing and amending, creating new pages. Uploading videos. Act as departmental contact for Communications and look after all the Department's communication channels.
